Barndo jobs get trades; post-frame jobs stay as they were

Build mode belongs to the job, not the account. Switch Barndominium on for the account and nothing existing changes; a builder who does both then sets it per project: the Tyler & Kara Brooks 40×60 is a barndominium, so it carries a Trades section; the pole barn down the road doesn't, and looks exactly as it did yesterday. Changing the mode asks first and never touches the schedule. We build exclusively for post-frame and barndominium builders, so the two kinds of job are told apart where the work happens — and the PM on a pole barn never scrolls past plumbing he doesn't run.

One setup for every job means the pole barn crew wading through septic and spray foam they will never touch.

The whole house in order, trade by trade

The opt-in starter, Barndominium — full trades, lays the build out from dirt work to final walk. Each stage carries the trade that does it and the equipment it needs: HVAC rough-in after the shell is dried in and before the foam, trim after paint; septic after the shell and before final grade. Pick a stage and its links read as sentences. The equipment tags feed the yard's plan, so the skid steer is booked by the schedule, not by whoever asks first. Every trade can see where it fits before the first stake goes in.

A barndo schedule copied from a pole barn leaves the plumber, the HVAC tech and the septic installer to find their own place in it.

Your own division bids like a sub — and the price locks

Ask the division for a price and its managers hear about it. They enter their cost and the margin they want: $5,000 at 25% is a $6,666.67 bid. You accept it and the row takes a padlock — that is the job's HVAC cost now. The division's own cost and margin stay with its managers; the builder side sees the price it agreed to. Both sides know the number, so nobody argues about it in the spring.

A price agreed in the hallway is a price both sides remember differently by the end of the job.

Beat three

Only an approved change moves a locked price

Revise price asks three things: is it a change order or a correction, why, and who approved it. The plumbing agreed at $10,000 already carries one change order — +$650 for a water softener loop, with the reason beside it — and a second water heater is another $250 waiting on an approval. A division that runs over carries its own overrun; the builder's job cost doesn't move unless somebody signs for it. The PM trusts his budget, and the division can't be blamed for a change it was never asked about.

A price that drifts a little every time somebody revisits it is a budget nobody believes.

An HVAC price while the customer is still at the table

Describe the house — square feet, ceilings, insulation, glass, bedrooms — and the configurator works out a budget load from it, not square feet per ton, so a tight spray-foam house sizes smaller than a leaky one. It offers Good, Better and Best from the supplier's own catalog, with options and your markup on top, and every result says what it is: budget sizing, with the HVAC contractor's Manual J/S/D as the final word. Add to estimate puts the lines in at the supplier's price, and a sent estimate keeps the prices it was sent with. The customer sees the upgrade and its price in one click.

An HVAC allowance guessed while you wait on a callback is the line that moves after the customer has read the quote.

The people who buy the equipment keep the list. Your division or an outside supplier opens a link with no login and changes prices, stock and lead times, or uploads a price sheet — every change shown before it's published, recorded with who and when, and the last one undone in one click. A supplier whose own system holds the prices can keep it current with an API key. Your markup is never on their screen. Nobody in your office retypes a price list again.

A price list emailed as a PDF is out of date the week after somebody finishes retyping it.

Their field app keeps working — and knows which house

A division that already runs Workiz or FieldPulse keeps it. An API key, shown once, lets that app read your active projects, and Leads 2 Build keeps a project dropdown filled inside it — 26-BROOKS-001 · Brooks · site. A job booked against that number links itself to the project, and to the trade it's for, and shows on the job as a linked job. The setup steps say plainly not to invoice your own jobs there. Each trade also has visits of its own, so the division could run on Leads 2 Build alone the day it's ready.

Typing a customer's name into another app and hoping it matches is how a service call lands on the wrong house.

  1. In Workiz: Feature Center → turn on the Developer API add-on (and Custom Fields).
  2. Settings → Integrations → Developer → create a v2 API key with Read & Write on Custom fields and Jobs.
  3. Settings → Custom fields → add a Job field "L2B project" of type Drop Down, limited to your builder job types. Copy its id (CF-…).
  4. Paste the key and the field id here and press Save & push now. L2B refreshes the options every night, so new projects appear and finished ones drop off by morning.
  5. Workiz → Automations → "Job created / updated" → Send webhook to the URL below, so the job links itself to the project.

Don't invoice the builder's own jobs in Workiz: it sends invoices to QuickBooks, which would book a sale between two parts of the same company. The agreed price lives on the project's Trades section instead.

One company, one set of books, no sale to yourself

The agreed $6,666.67 is the job's cost for the HVAC; the customer pays $8,333.33 for it. The division spent $5,500, so it made $1,166.67; the builder side made $1,666.66; the company made $2,833.33. Explain walks every step with the job's own numbers. The internal price never reaches QuickBooks: anything tied to an in-house trade, or a vendor that is one of your own divisions, is never posted as a bill or a bill payment. The division manager finally sees whether his crew made money, and the accountant sees one company.

Posting the internal price as a bill doubles revenue and expense on every job, and still doesn't tell the division whether it made money.
