One list across every division
Try itEvery client who has a project or owns a property you've worked on is already in the Directory — the build side and an in-house trade division together. Each row shows the divisions that have worked for them (worked out from their projects and trade work, plus any you tag by hand), their properties, their latest project number and how they want mail. Search a name, part of a phone number, a street, or a number like 26-WEAVER-001 — even typed as "26weaver1".
Client details lived on the build side, in the trade division's app and in a spreadsheet, and nobody had all of them.
The directory reads the contacts, projects and properties you already keep, so there is no second list for anyone to fall behind on.
Duplicates side by side — never merged automatically
Try itDuplicates lists pairs that look like one client: the same email in a different case, the same phone under a misspelt name, the same name and ZIP, or owners of the same property. Each pair sits side by side with the one to keep suggested — more projects, then more properties, then the older record. Keep this one merges the other's notes, tasks, estimates, projects, properties and mailing preferences onto it; Not duplicates remembers that two people really are different.
Two records for the same client split their history, and nobody dared merge them in case they were two different people.
A suggestion is cheap to dismiss and a wrong merge is expensive to undo, so a person always makes the call.
How each client wants mail
Try itOpen a client to set the household name that goes on the envelope, the salutation, and which address mail goes to — the contact address, one of their properties, or a different mailing address. Holiday card, Marketing mail and Do not mail sit underneath; do not mail switches the other two off and keeps them off every export.
The holiday card went to a house the client sold two years ago, addressed to only one of them.
A client who asked not to be mailed is never mailed by accident, however the list was filtered.
Holiday labels in two clicks
Try itExport sends exactly what's showing: Avery 5160 address labels as a PDF, Excel for a Word mail merge or a SharePoint list, CSV, or contact cards for Outlook, Apple or Google. For mailing leaves out do-not-mail clients and anyone with no address — label sheets always do — and USPS style prints capitals with no punctuation. Save the filters as a list such as Holiday cards 2026 and it re-runs itself next year with new clients included. Every export is logged.

A barndominium builder with an in-house HVAC division had client details spread across the build side, the trade side and two systems — and found out the hard way at Christmas card time, when someone had to assemble the list by hand. The directory answers that by not being a list at all: it reads the contacts, projects and properties you already keep, works out which divisions touched each client, and turns it into labels in two clicks.
