The agency calendar

One calendar for the whole team where the owner sees everyone and each rep sees only themselves, with day, week, month and list views, drag to reschedule, and two-way Google sync.

What it is

A full-viewport calendar of every agency appointment. Each appointment can hang off a pipeline card, so booking a discovery call or a demo lights that builder's journey and ticks the stage checklist. Personal Google events sync in, render hatched grey, take no automations and are changed in Google rather than here.

Month view with per-host colour chips carrying DISC/DEMO tags, a hatched grey personal event, and one appointment mid-drag to another day. Sample data — no customer information appears here.
How it works
  1. 1Views: Day, Week, Month (infinite scroll) and List, over a one-year window — six months back, six ahead.
  2. 2Drag an appointment to another day in month view or another time in day/week view.
  3. 3Click a slot to create; click an appointment to open, move, mark done or no-show, cancel with a reason, or jump to the deal.
  4. 4Every chip carries a short type tag (DISC, DEMO, ONBD, CALL, SUPP, PERS) so the kind reads at a glance; the chip body stays the host's colour.
  5. 5Availability per host defaults to Mon-Fri 9-5 in 30-minute slots and is editable.
  6. 6The response paints from the database immediately and the Google sync runs after the response goes out.
  7. 7Grab-to-pan works anywhere on the grid, and the click that would follow a pan is swallowed.
Why we built it

For the calendar itself: 'One calendar for the whole team: the owner sees everyone (and can filter by person); each rep sees only their own — to them it's their personal calendar.' The sync ordering is a fix: the calendar 'took 3-4s to paint because it waited on this'. The default view is a fix too — 'should always default to monthly view. Currently it keeps going to weekly', and the remembered view was removed rather than re-defaulted because 'with it still reading from storage, a changed default would have been invisible to anyone who already had "week" saved.'

The problem
  • Personal calendars and work bookings lived apart, so conflicts were invented.
  • A calendar that waited on a third-party sync took seconds to paint.
  • Appointments had no link to the deal they belonged to.
