What it is

The lifecycle behind every booked call. Reminders go to the prospect and the host. Marking done writes an outcome note onto the deal. A no-show sends an email immediately that leads with concern rather than rebooking, and a second, still-humble one if nothing comes back in 24 hours. Cancelling picks a templated, editable reason that the prospect receives.

How it works
  1. 1A job runs every five minutes and sends the 24h, 1h and 5m reminders, plus the second no-show note after 24 hours of silence.
  2. 2Reminders carry a Join the meeting button when there is a video link.
  3. 3Marking done prompts for an outcome note, which lands on the deal's notes.
  4. 4No-show email #1 is empathy first — 'is everything okay?' — with nothing about rebooking.
  5. 5Cancel picks a reason from templates that fill in for that appointment and stay editable.
  6. 6Every email is tagged per appointment and step, so opens and clicks read back against that specific booking.
Why we built it

The voice is specified in the copy module: 'grounded, plain, humble, in service of them. No "don't forget", no marketing sheen, no exclamation marks. Reminders exist to set the meeting up well… and to leave them a little more looking-forward-to-it than before, without promising any one specific thing (every builder is different).' The no-show sequence is deliberate: 'empathy first… nothing about rebooking. If nothing comes back in 24h → email #2, still humble.'

The problem

  • Cancellations arrived as a bare calendar removal.
