Stage Checklists (SOPs)

Every stage carries an ordered checklist of what a rep actually does inside it, tracked per deal and reset when the deal moves.

What it is

Each sales stage owns an inner protocol. New Lead: assign an owner, make first contact. Contacted: first attempt, follow-up 1, 2, optional 3, short-term nurture, long-term nurture. Create Estimate: drafted, verify takeoff, confirm markup, optional internal review, ready to send. Estimate Sent, Estimate Approved, Info Submitted, Contract Sent, Co-sign Pending and Ready to Start each carry their own. Optional steps do not block the ready signal.

This checklist is per visit — it resets if the deal re-enters this stage. Completed steps are recorded in the stage transition history.

A card face's protocol strip (pips, 3/5, amber light, 'Next: …') beside the open card's full Stage checklist with a Ready to advance badge. The real screen, drawn from the product’s own design system. Sample data — no customer information appears here.
How it works
  1. 1The card face shows step pips, a done-of-total count and a status light that greens up as steps complete
  2. 2When every required step is done the card shows a Ready badge
  3. 3Checking a step stamps who did it and when
  4. 4Moving stage resets the checklist for the new stage and snapshots the old one to the audit log
Why we built it

Follow-up used to be modelled as board columns — Follow-Up 1, 2 and 3 — which made the board too wide to use and made the stage list change meaning every time the process changed. Each stage now carries an ordered checklist of what a rep actually does inside it, tracked per deal and reset when the deal moves on. The checklist is deliberately independent of whether an estimate or an accounting job is linked, so every card is fully workable from the moment it exists rather than waiting on something else to be built.

The problem
  • No written process a rep can follow inside a stage
  • Follow-up counts modelled as pipeline columns and cluttering the board
  • No record of which steps were actually done on a deal
