Five loops with conservative thresholds: a New Lead uncontacted for 4 hours, a Contacted lead with no estimate after 24, an Estimate Sent unapproved after 48, an approved deal with no project-info form after 24, a Contract Sent unsigned after 48. Each stalled deal gets a 'Needs follow-up' badge naming the specific act — Contact lead, Build estimate, Chase approval, Chase info form, Chase signature — and the rep gets a notification.
Also called: nobody followed up · deals going stale · follow up reminders · accountability
- 1Each loop measures from the column that marks when the deal entered that stage
- 2A deal is nudged at most once per 24 hours
- 3A deal that has moved on stops matching the query, so its badge clears on the next sweep
- 4The badge only renders on the card while it is still in the stage the nag belongs to
Deals stall quietly — a rep means to chase the signature, and a week goes by — and nobody notices until the customer has gone elsewhere. A scheduled sweep now finds deals that have sat too long at a stage, badges the card and nudges the rep, at most once a day per deal. The first version kept chasing deals that had already moved on, so reps were being told to follow up on work they had finished; a deal that advances past the stage it was nagged about is now done with that nag. Thresholds start conservative and can be tuned per builder without touching the sweep itself.
- Deals stalling with nobody noticing
- Follow-up badges chasing work that is already done
- Notification spam from repeated nudges
