Duplicate Review

The board flags contacts sharing an email or phone and lets you merge them, with a one-click auto-merge for the email groups.

What it is

A duplicate counter appears in the board header when contacts share an email or a phone. The review modal groups them, lets you pick which card to keep, and transfers the estimate link, stage, opportunity, notes and tasks to the primary while archiving the secondary. Email groups can be auto-merged in bulk, keeping the earliest-created contact.

The duplicate counter chip in the board header and the review modal showing an email group with an auto-merge banner. Sample data — no customer information appears here.
How it works
  1. 1Groups are labelled by match type: email or phone
  2. 2Auto-merge processes only the email groups, keeping the earliest-created contact as primary
  3. 3Phone-only groups are never auto-merged
  4. 4Estimates re-attach to the kept contact
Why we built it

The same customer arriving through a form, a phone call and an import became three contacts, and reps worked whichever one they happened to open. Contacts sharing an email or phone number are now flagged for review, and email groups merge in one click, consolidating the name and the email into whichever record came first. Phone groups are deliberately left to a human, because two different people genuinely do share a number — spouses, and everyone at a small business.

The problem
  • Duplicate contacts accumulating from multiple sources
  • Automatic merging destroying two distinct people who share a number
  • Manual review of dozens of duplicate groups
