New Lead, Contacted, Create Estimate, Estimate Sent, Estimate Approved, Info Submitted, Contract Sent, Co-sign Pending, Ready to Start. Each is tied one-to-one to a system function — the estimate syncing, the customer approving, the intake form arriving, the contract going out, the customer signing, the builder countersigning. Ready to Start is a pure work queue: the only thing left is Start Project, which retires the card to the project pipeline.

An earlier version of the board carried a review stage that described nobody's actual job — builder review happens while the deal is already sitting in Info Submitted, so the column just collected cards no one owned. Two later stages were renamed in meaning rather than replaced, so no deal had to be migrated and existing CRM mappings kept working. Each of the nine stages now corresponds to one real event — an estimate syncing, a customer approving, a form arriving, a contract being signed — rather than a folder someone invented.
